We, First Transit/Canada here in Yellowknife, NT operate a unique location which consist of a large school bus fleet, a city transit system fleet and a small HANDY DART (YATS) transportation fleet.
Our location has expanded, and we are currently seeking a full time Office Admin Dispatcher/Receptionist (OADR). The right candidate will be responsible and accountable for overseeing and providing key reception, administrative and logistical support services to the team here at First Transit/Canada (FT) and its subsidiaries to ensure efficient and effective delivery of administrative systems, processes and services.
Reporting directly to the Location’s general manager & office/management team, the OADR will provide administrative support to Yellowknife’s FT’s team; while ensuring that the corporate office administrative systems and processes are established and maintained to maximize efficiency, professionalism, and customer service.
Responsibilities you will provide; administrative support, answering telephone calls, scheduling and dispatching YATS drivers, vehicles and/or equipment to appropriate locations according to predetermined schedules, customer requests or immediate needs. Other duties will consist of answering e-mails, inquiries and using two-way radios.
You must possess strong verbal communication skills (English) to relay information to drivers/staff and answer customer questions/concerns. Strong written communication skills (English) to record the essential details of every job aspect.
Good time management skills are also critical. The OADR needs to prioritize jobs and schedule appointments so jobs can be completed within the given timelines. Good multitasking abilities to handle several phone calls at once and juggle multiple job assignments in a single work day. In conjunction, your other duties will include scanning, uploading/sorting files, photocopying and or faxing documents as requested. Assist in the preparation of documents, formatting, binding, etc. Oversee and perform general corporate office upkeep and organization.
Run the reception area/perform receptionist duties, greeting all visitors/staff in a pleasant manner. Receiving, sorting, distributing incoming and outgoing mail and parcel deliveries. Administrative duties with sales, projects, running errands for various staff as requested.
You must be able to work effectively as a team member and with minimal supervision. Ability to maintain a professional standard of conduct and sound work ethics. Excellent time/priority management and organizational skills.
You must hold a valid and (minimum) class 5 driver's license, with a clean and clear driver’s abstract. The chosen candidate will undergo a series of background checks, including a criminal records check, vulnerable sectors clearance and background clearance. Upon pre hire candidates must provide the following all clean and clear: drivers abstract, criminal records check, vulnerable sector check, pass a drug & alcohol test (this includes cannabis, which is prohibited by corporate policies). Failure to meet all of these requirements will deem you unfit for the position. This position will partake on a Monday to Friday bases, 9am to 5pm. This position may lead to future opportunities within our location. Hourly rate of $24.50/Hour.
